Finding Information on the Web

Finding PeopleSoft Information on the FRS Web Screen

Go to: https://webapps.umsystem.edu/. This is what you’ll see:

Click on the Web Applications button.

After authentication, this is what you’ll see:

Click on FRS.

Click on the drop down box to the right of the second text box under Search Options to view the options for defining your search.

Vendor Name: To find information on a specific vendor when the vendor number is not known, you can use the Vendor Name search. Enter either a complete or partial vendor name in the Look for box, select Vendor Name from the drop-down list, and click the Go! button. You will be taken to a screen that will list possible matches. The information displayed includes name and address, as well as amount paid for this fiscal year and last fiscal year. If the vendor you are looking for is not on the list, or the list shows no matches, use your browser's Back button to return and modify your search criteria.

Tips on Vendor Name:

1. Characters may be either upper- or lowercase.

2. If the vendor is an individual, type a percent sign followed by the person's last name to get a listing of all vendors with the same last name (e.g., %adams).

3. When a business vendor's name includes a first name or initial, the vendor name should be entered beginning with the first name or initial.

4. The search assumes a wild card at the end of the name (e.g., fed will return a list of all vendor names that begin with fed).

5. Never use "the" as the first word of a vendor name.

6. The vendor name should not include commas, apostrophes or periods.

7. The United States Postal Service abbreviations for states are used when a state appears in a vendor's name.

8. Standard abbreviations have been adopted for certain words. See the online help file for details.

Vendor Number: To find information on a specific vendor, when the vendor number is known, you can use the Vendor Number search. Enter the vendor number in the Look for box, select Vendor Number from the drop-down list, and click the Go! button. All University vendor numbers contain one alpha character followed by ten numeric. For a successful search, all eleven digits of the vendor number must be keyed. The alpha character may be keyed as either upper- or lowercase. A screen will be displayed which allows you to have all campus vouchers listed (the default) or vouchers for a selected campus.

Vendor Invoice Number: To find voucher information, when only a vendor's invoice number is known, you can use the Vendor Invoice Number search. Enter the vendor's invoice number in the Look for box, select Vendor Invoice Number from the drop-down list, and click the Go! button. If there is more than one vendor that has used the same invoice number, you will be taken to a screen that will list all vendors that have used that invoice number. Information displayed includes invoice amount and date, along with voucher and check information. If there is only one match, you will be taken directly to the Voucher Information screen. Leading zeros to not need to be keyed (e.g., typing invoice number 123, will return a list of vendors that may have used 123, 01213, 00123, etc. as their invoice number.

Check Number: To find information on a University check, when the check number is known, you can use the Check Number search. Enter the check number in the Look for box, select Check Number from the drop-down list, and click the Go! button. Leading zeros do not need to be keyed (e.g., check number 000999 can be keyed as either 999 or 000999. You will be presented with a screen that lists all vendor payments with the specified check number. Click on the check date that matches the vendor you wish to retrieve.

Voucher Number: To find voucher information, when the voucher number is known, you can use the Voucher Number search. Enter the voucher number in the Look for box, select Voucher Number from the drop-down list, and click the Go! button. You will be taken to a screen that will list all vouchers that have used that voucher number. The voucher number may be keyed as either a six or seven-digit numeric field. If only six digits are keyed, the leading zero will be assumed.

Purchase Order Number: To find detailed information about a purchase order or departmental PO numbers, when the purchase order number is known, you can use the Purchase Order Number search. Enter the purchase order number in the Look for box, select Purchase Order Number from the drop-down list, and click the Go! button. Purchase order numbers contain the following campus identifier followed by six numerics:

C = Columbia, UM System

K = Kansas City

R = Rolla

Y = Rolla Departmental POs

H = Hospital

HD = Hospital Departmental POs

S = St. Louis

Note: If you enter a PO with an E, H, L, M, U, W, X or Y prefix, the voucher screen with resulting information will be displayed.

CRR Number: To find an electronic cash receipts report, when the CRR number is known, you can use the CRR Number search. Enter the CRR number in the Look for box, select CRR Number from the drop-down list, and click the Go! button.

Requisition Number: To find detailed information about a purchase order, when the purchase order number is not known, but the requisition number is known, you can use the Requisition Number search. Enter the requisition number in the Look for box, select Requisition Number from the drop-down list, and click the Go! button. If the purchase order has been created, you will be taken to a screen that gives you detailed information about the purchase order. If a purchase order has not been created for the requisition, a "purchase order not found" message will be given. All University requisition numbers contain one alpha character followed by six numerics. Following are the coding schemes for each campus:

M = Columbia, UM System P = Rolla

N = Kansas City Q = St. Louis

Journal/Correcting Entry Number: To find an electronic journal/correcting entry, when the journal/correcting entry number is known, you can use the Journal/Correcting Entry Number search. Enter the journal/correcting entry number in the Look for box, select Journal/Correcting Entry Number from the drop-down list, and click the Go! button.

PS Source Code: To find a PeopleSoft Source Code value, select PS Source Code and click the Go! button. All defined source codes will be displayed. You can select to sort by Source Code or Description. PS Source Codes are used by feeder systems to name their journal files that are imported into PeopleSoft financial applications.

PS ChartField Mapping: To list a cross-reference of how PeopleSoft ChartFields map to MoCode and FRS Account Codes, select PS ChartField Mapping and click the Go! button. Enter the desired ChartField combination and click the Submit button. A single ChartField or a ChartField combination can be requested. All mappings to the requested ChartFields will be displayed. There may be multiple MoCodes and/or FRS Accounts mapped to the requested ChartFields.

If a MoCode is inactive because one of the ChartFields it maps to is inactive, the word "INACTIVE" will be displayed instead of the MoCode. The FRS Account links to the FRS Attribute web screen.

FRS Account Mapping: To list a cross-reference of how an FRS Account maps to MoCode and PS ChartFields, select FRS Account Mapping and click the Go! button. The FRS Account Code can either be entered on the FRS Main Menu in the Search Options Look For box, or on the screen displayed after clicking the Go! button. If the FRS Account Code is entered in the Look For box, it can be either a 7-digit account or an 11-digit account. If an 11 digit account is entered, the subcode should be prefaced with a dash ( - ). For example, the account code in the Look For box would be entered as R203467-5100.

There is only one MoCode assigned to an FRS Account. Multiple FRS Accounts, however, can map to the same MoCode.

FRS variable subcodes are not mapped to a PS Account. If a variable subcode is entered, the PS Account value for the high-level subcode will be returned. (For example, if the user enters the variable subcode 5110, the PS Account value displayed will be the value for subcode 5100.

If a MoCode is inactive because one of the ChartFields it maps to is inactive, the word "INACTIVE" will be displayed instead of the MoCode.

PS MoCode Mapping: To list a cross-reference of how MoCode maps to PS ChartFields and FRS Account Code(s), select PS MoCode Mapping and click the Go! button. Enter a complete or partial MoCode and click the Submit button. All FRS Accounts and the corresponding ChartField combination that is mapped to the MoCode will be displayed.

Every FRS Account Code is mapped to a ChartField combination and a MoCode. Only one MoCode is assigned to a unique ChartField combination. There may be many FRS Accounts mapped to the same Chartfield combination and, therefore, have the same MoCode.

If a MoCode is inactive because one of the ChartFields it maps to is inactive, the word "INACTIVE" will be displayed instead of the MoCode.

PS DeptID: To list a cross-reference of how PS DeptID maps to FRS Accounts and MoCodes, select PS DeptID and click the Go! button. Enter the desired DeptID and click the Submit button. You can enter a full (8 character) DeptID or a partial DeptID. All FRS Accounts and ChartField combinations that are mapped to the DeptID will be displayed.

If a MoCode is inactive because one of the ChartFields it maps to is inactive, the word "INACTIVE" will be displayed instead of the MoCode.
